Refund & Return Policy

At IronWolf Systems, we want every customer to be fully satisfied with their purchase. If for any reason you are not happy, we offer a 30-day return policy for eligible products sold on our website, starting from the date you receive your item. This policy incorporates specific manufacturer requirements and industry standards to ensure fair and transparent handling of all returns.

Eligibility for Returns

To qualify for a return, all items must meet the following conditions:

  • Unused, uninstalled, and in the same condition you received them

  • Contain all original packaging, manuals, and accessories

  • Include all tags, labels, and documentation

  • Accompanied by a valid receipt, invoice, or proof of purchase

We do not charge restocking fees on most standard returns. 

Certain products may not be eligible for return due to manufacturer restrictions. If this applies to your item, our team will inform you before authorizing a return.

How to Start a Return

All returns must be pre-authorized.
To initiate a return, contact us at contact@ironwolfsystems.com with your order number and reason for return.

Once your return is approved, we will provide detailed instructions and the designated return address.
Unauthorized or non-approved returns will not be accepted.

Once your return is authorized, we’ll confirm whether a prepaid return label will be provided or if you should ship the item using your own carrier.

Return Shipping Costs

The cost of return shipping is the responsibility of the customer. Customers are responsible for round-trip freight costs, and freight charges may be deducted from the refund.

In the case of exchanges or replacements, customers are also responsible for shipping costs both ways.

If the return is due to an error on our part or a confirmed product defect, we will cover the cost of return shipping.

We strongly recommend using a trackable shipping service and/or purchasing shipping insurance, as we cannot guarantee receipt of returned items.

Return Labels

Return shipping labels are not automatically provided.
After your return is approved, our team will send you detailed return instructions and the designated return address.

  • If the return is due to our error or a verified defect, IronWolf Systems will issue a prepaid return label at no cost to you.

  • If the return is for any other reason (such as change of mind, incorrect order, or non-defective item), you are responsible for the cost of return shipping.

If you prefer, we can generate a prepaid label for you and deduct its cost from your refund.
Always use a trackable service and keep proof of shipment until your refund is processed.

Order Cancellations

Orders that have not yet shipped may be canceled, subject to a 5% cancellation fee to cover processing and administrative costs.

If your order has already shipped, our standard return policy will apply.

Custom, Made-to-Order, or Special-Order Products
Orders for custom-built or special-order items are considered final sale once production has begun. These products cannot be canceled, returned, or refunded after manufacturing starts. Please verify all product specifications and measurements carefully before confirming your order.

Exceptions / Non-Returnable Items

The following items are not eligible for return, credit, or exchange:

  • Items outside the 30-day return window

  • Used, installed, or altered products

  • Items not in original packaging

  • Products damaged due to misuse, incorrect installation, or environmental exposure

  • Consumables, wear items, or custom/special orders

  • Incomplete, defaced, or mismatched serial-number items

  • Items without proof of purchase (invoice, receipt, or sales order)

  • Clearance or final-sale items, or gift cards

Manufacturer Restrictions
Some manufacturers have strict non-return policies. In these cases, we will notify you prior to authorizing your return or exchange.

Promotional Bundles (e.g., Buy One Get One Offers)
Products purchased as part of a promotion or bundle must be returned in full to qualify for a refund or credit. Partial returns from promotional bundles are not eligible for reimbursement.

Damaged or Defective Items

If you discover damage, defects, or incorrect items, notify us at contact@ironwolfsystems.com within 7 days of delivery. Include clear photos of the product and packaging to help us assess the issue quickly.

Claims submitted after this period may not be accepted.
We will work with you to provide a resolution — whether by replacement, repair, or refund — in accordance with manufacturer warranty procedures.

Exchanges

The fastest way to receive a replacement is to complete your return, and then place a new order for the replacement product once your return has been approved.

Refunds

Once your returned item is received and inspected, we will notify you of the approval or rejection of your refund.
Approved refunds will be issued to your original payment method (credit card, debit card, or other method used at checkout) within 10 business days.

You will also receive an email confirmation once the refund is initiated.

If more than 15 business days have passed since your refund was approved and you have not received it, please contact us at contact@ironwolfsystems.com.

Warranty Claims

All warranty claims are handled in accordance with each manufacturer’s warranty terms and conditions. IronWolf Systems assists customers in initiating warranty requests but does not provide its own warranty beyond that of the product manufacturer.

Shipping Delays

Shipping and delivery times are estimates only.
Delays caused by freight carriers, customs clearance, weather conditions, or manufacturer production schedules do not constitute grounds for cancellation or refund. We appreciate your patience and understanding in these cases.
